Most live festival merch activations land between $5,000 and $15,000-plus, and this post explains exactly what moves you along that range so you can budget before you ask for a quote.

The station fee: crew, presses, and time

The foundation of every quote is the staffed station itself — the printers, the presses, the flash dryers, and the hours they run. A single-press station for a few hours sits at the low end; a multi-press setup with a hat bar running all weekend sits at the high end. This fee covers setup, teardown, and the trained crew, and it is fixed regardless of how many pieces you print, which is why higher volume actually lowers your cost per shirt.

The blanks: your biggest variable

Garment choice is where budgets swing most. A basic tee, a premium soft-style tee, a heavyweight hoodie, and a Richardson 112 cap for the hat bar each carry very different blank costs, and you are buying one per guest who prints. Decide your color story and size curve early — running XS through 3XL so nobody hears “sold out in your size” costs a little more in inventory but protects the guest experience. If you supply your own blanks, that line comes out of the quote entirely.

Screen printing is the most efficient method at volume — once the screen is burned, each additional shirt is fast and cheap, which is why it wins for big single-design release drops. Sponsors change the math too — brands like Coca-Cola and Hyundai often underwrite a station in exchange for co-branded merch, which can offset the organizer’s cost entirely. The single number on your quote is itemized, so you always see where the dollars go.

Multi-day and multi-stage math

Festivals that run more than one day or more than one stage change the quote in predictable ways. A second day is not double the cost — the station fee already covers mobilization, so additional days price mainly as crew hours and blanks. A second location on the grounds, though, means a second staffed station, which is closer to a full add.
